Collection research and granting access to digital representations
Rules
The Museum of Warsaw allows research into its collections and grants access to their digital representations in line with the Regulations for researching and accessing collections for purposes other than visiting – plik .pdf 592KB plik .docx 82KB
The regulations contain detailed information concerning the terms and types of collection research as well as the conditions for obtaining access to digital representations of the collections, along with the list of charges.

Information about the collections of the Museum of Warsaw may be obtained in the following ways:
- Independent online research – carried out via the website www.kolekcje.muzeumwarszawy.pl; free of charge.
- Independent research on museum premises – access to the electronic collection record system on site, by appointment; free of charge.
- Preparation of basic inventory data by a museum employee –the data is sent as a compilation to a specified e-mail address; free of charge
- Substantive research (by commission) – preparation of detailed information by a museum employee based on collection documentation; fee: PLN 114 gross for each hour of work commenced.
- Physical access to collections – viewing selected objects on museum premises; free of charge, unless additional preparatory work is required (e.g. securing fragile objects, specialised transportation – PLN 114/hour).
A request for carrying out collection research must be made via a form (Appendix 1 to the Regulations) and sent:
- by e-mail to kancelaria@muzeumwarszawy.pl,
- by post to: Muzeum Warszawy, Rynek Starego Miasta 28, 00-272 Warszawa.
Digital images of selected collections which are not protected by copyright (public domain) can be downloaded independently and free of charge from: www.kolekcje.muzeumwarszawy.pl
By request the Museum of Warsaw grants access to representations of objects:
- which are in the public domain (no longer protected by copyright),
- which are not copyrightable works, in the meaning of copyright law,
- to which the Museum holds copyright (in such cases, a temporary, non-exclusive licence is granted on the basis of a contract or licence statement).
In the case of collections to which the Museum does not hold rights or where rights are limited, the use of digital copies requires separate, independent settlement of rights with the authors or their heirs, including in relation to rights to the images of individuals.
The procedure of granting access depends on the legal status of the object in question:
- Images of objects in the public domain are made available on the basis of a request for digital representations (Appendix 2 to the Regulations)
- Representations of works to which the Museum holds economic rights or a licence are made available on the basis of a request for digital representations (Appendix 2 to the Regulations). In addition, a licence agreement or licence statement is required.
- Images of objects with undefined copyright status and those to which the Museum does not hold copyright are made available on the basis of a request for digital representations (Appendix 2 to the Regulations). An additional declaration (Appendix 3 to the Regulations) is also required.
Fees
Existing visual documentation in JPEG format (300 dpi) is available free of charge. Other formats or new representations may be subject to fees in accordance with the list of charges:
- Existing documentation – JPEG, 300 dpi, free of charge
- Existing documentation – TIFF, 300 dpi, PLN 70
- New documentation (up to 8 images), JPEG / TIFF, 300 dpi, PLN 149 per object
- Special order (over 8 images), JPEG / TIFF, 300 dpi, PLN 100 per object
If a fee is required, its amount will be confirmed before the order is processed.

- via the website www.kolekcje.muzeumwarszawy.pl after logging in.
